Keep recurring work moving

We connect the steps between an incoming document, a check and the next action. Your team sees the exceptions and makes the decisions that require professional judgment.

"At least 4 hours less checking each week"

For a technical service provider, we built a system that compares payment batches with invoices and supplier records. Accounts reviews exceptions before payments are released. The customer reports saving at least four hours of checking each week.

Decide what can proceed automatically

We map the normal route and the cases that need a person to review them. That makes ownership of each exception clear.

  • Choose a recurring step
  • Define rules and exceptions
  • Send review to the right person

Which recurring steps can you automate?

We consider the complete sequence: what starts the work, which information is needed and who decides what happens next?

Prepare quotes

Collect information from an enquiry and compare it with estimation data. A planner fills in the missing decisions and checks the quote before it goes to the customer.

Document intelligence

Move work orders into administration

Collect hours, materials and project details from completed work orders. Complete records can proceed; incomplete ones return to the appropriate team member.

System & ERP integration

Follow up on variations

Prepare site reports with their project reference, description and available supporting documents. The responsible person reviews them before administration processes them.

Document intelligence

Route exceptions for review

Send unusual invoices or payment lines to the responsible person. Record the decision and only continue processing once the required review is complete.

Practical questions

Which process should we start with?

A recurring process with enough volume, recognisable inputs and clear review criteria. We prefer a defined step where your team can already identify time spent and errors.

Can our team still review work manually?

Yes. We agree which cases can proceed automatically and which need review. The reviewer receives the relevant information and can release the work or send it back.

Does every step need AI?

No. Fixed checks and data transfers often work well with ordinary software. We use AI where variable documents or unstructured information make it useful.

Who maintains the process after delivery?

We agree who manages changes, receives alerts and handles failures. When Opusmatic provides ongoing management, we monitor processing and maintain the agreed connections and checks.
